Understanding user roles
What is a User vs. a Person?
In our software, a User is someone who has login access, while a Person is someone who has completed an assessment in the software. Some Users might not be People, and some People might not be Users.
What is a User Role?
A User Role determines what a User can see and which actions they can take. We’ve outlined the differences between User Roles below, so that you can properly assign User Roles to members of your team when you grant them software access.
Summary of user roles
User role | Summary of permissions | User role recommended for |

Read Only | Read Only can view information for people they have been granted access to. Cannot take actions or modify data. Can download and share data. | Employees We encourage companies to share the power of PI insights by providing all employees with Read Only logins. We also encourage employees to have access to the behavioral insights of everyone they work with. This will help your employees work within and across teams. |
Power User / User | In addition to Read Only permissions, Power Users can send behavioral and job assessments. | People Managers, Hiring Managers, Recruiters Power Users/Users can help roll-out PI within an organization by sending assessments to employees and lead hiring efforts by creating job targets. |
Account Admin | In addition to Power User permissions, Account Admins can configure the software account through email defaults, privacy requirements, etc. They can also add software users. | PI Champion Typically, Account Admins play an active role in implementing PI throughout their organization. |
Account Owner | In addition to Account Admin permissions, Account Owners can grant software users access to Cognitive Information. | PI Champion This individual is typically responsible for implementing PI within the organization. They are also trusted to administer and view Cognitive Assessments. |
Third Party External Users | Third Party External Users can view and send behavioral and job assessments, but cannot manage user access. | Certified Partner, Consultant, Customer Success Manager By allowing them to access your account, they can provide guidance in learning the software and can be more helpful when questions or technical issues arise. |
Note: You may see additional user roles listed labeled Assessment Admin and Assessment Input. These are legacy roles that are no longer used. Please do not select these for a user role.

What People and Jobs can Users view?
Account Owners, Account Admins, and Third Party External Users have access to all People and Jobs in the software. Power Users, Users, and Read Only only have access to People and Jobs in the Folders they have access to.
Account Owners and Account Admins can grant and restrict access to People and Jobs for different Users through Folder Management. For example, an Account Owner/Admin may set up Folders by department in order to grant Read Only employees access to People and Jobs in the same department.
